Who we are
MoveSnaps is a non-commercial photo submission and gallery service for removals crews, run privately and not for profit. The person who runs MoveSnaps is the data controller for the personal data described in this notice.

What we collect
When a crew member submits photos, we collect: the photos themselves, a short description of what is happening in them, the name of the person who took them, a job reference, and the date and time of the photo. Photos are of removals work — packing, loading, vehicles and premises. Crews confirm before submitting that no private information belonging to the client has been captured, and that any person or private information appearing in a photo is included with consent.
For security, we also record the IP address of failed attempts to enter a secret word (kept for no more than 24 hours, used only for rate limiting) and keep an audit log of administrator actions such as logins, downloads and deletions.
Why we use it and our lawful basis
We use this data to run the service: storing and organising job photos, letting authorised administrators review them, and displaying admin-approved photos in brand galleries. Approved photos may also be used by the relevant removals brand on its social media and in other publications, as confirmed by the submitting crew member. Our lawful basis is our legitimate interests in operating a photo record of removals work and keeping the service secure; where a photo includes a person's likeness, we rely on the consent the crew member confirms at the point of submission.
Who can see it
Submitted photos and their details are visible to administrators authorised for the relevant brand. A photo only becomes visible in a public gallery once an administrator has approved it, and galleries are only accessible to people who have been given that brand's secret word. We do not sell personal data, we use no advertising or analytics services, and the site makes no requests to third-party services — even fonts are hosted on our own server.
Where it's stored and for how long
Everything is stored on our own server in the United Kingdom; no data is transferred outside the UK. Photos and their details are kept while they remain useful to the relevant brand, and we review stored photos at least every 24 months, deleting those no longer needed. Failed secret-word attempt records are deleted automatically after 24 hours.
Cookies
MoveSnaps sets only cookies that are strictly necessary or store your preference:
a session cookie (essential — remembers your secret-word entry or admin login for the visit)
and ms_theme (remembers your light/dark choice). We use no advertising,
analytics or tracking cookies, which is why there is no cookie banner.
Your rights
Under UK GDPR you can ask us for a copy of your personal data, ask us to correct or delete it, restrict or object to our use of it, and ask for it in a portable format. To exercise any of these rights — for example, if you appear in a photo and want it removed — email help@movesnaps.com and we will respond within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
